Administrative Assistant
Position Summary:
The Administrative Assistant provides administrative support to the ACCRF. Tasks may include managing multiple calendars, answering phones, preparing letters and memorandums, preparing for events, and completing expense reports.
The Administrative Assistant must be organized, detail oriented, and possess good judgment. The Administrative Assistant must have the ability to deal with a diverse group of external callers, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diverse workload.
Responsibilities and Key Requirements:
1. Assist with schedule management and appointments of the ACCRF senior officers.
2. Arrange and coordinate meetings and internal events and hospitality for the office.
3. Assist with some travel arrangements and coordination with hotel representatives.
4. Monitor and direct incoming phone calls and correspondence.
5. Liaise with internal staff at all levels, in particular.
6. Prepare and proofread correspondence, communications, presentations and other documents for accuracy and consistency.
7. File, organize and retrieve documents and reference materials, corporate documents and reports.
8. Prepare invoices, expense reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, ERP software, etc.
9. Work with and securely maintain confidential information.
10. Provide other administrative support as necessary.
11. Contribute to special projects as needed.

1. Diploma or degree or commensurate work experience.
2. Excellent written and verbal communications skills; attention to detail.
3. High computer literacy with ability to learn and adopt new systems and software quickly
4. Strong planning, administrative and organizational skills; ability to manage time efficiently, meet deadlines, work independently and within a team; ability to work under pressure.
5. Extensive experience managing a complex schedule
6. Proven ability to work well with diverse groups of people.
7. A sense of humor, strong interpersonal skills and flexible working style.
8. Proficient with Windows-based word processing, spreadsheets, databases, email and the Internet.
9. A genuine commitment to the mission, values and spirit of ACCRF.
